EuroKids JMD Enclave — Leave & Attendance Policy


Academic Year: 1 April to 31 March 2025

Dear Teachers,

Thank you for the love and energy you bring to our children every day. This policy sets out how leave

and attendance are managed so classrooms stay safe, calm and predictable for our students. Please

read it carefully and keep a copy handy.

1) Purpose

This policy explains leave types, how to apply, and what happens if you are late or absent.

2) Your leave in one year (15 days total)

You receive 15 paid leave days each academic year:

Casual Leave (CL) — 7 days

Use CL for short personal needs during the year.

CL does not carry forward. Any unused CL expires on 31 March.

Earned Leave (EL) — 8 days

EL carries forward to the next year with no limit.

If you do not wish to carry it forward, you may encash EL at year‑end up to a maximum of 30

days.

Simple examples

CL example: You need a day for a family errand. Apply for 1 CL.

EL example: You plan a 3‑day trip. Apply for 3 EL. Unused EL carries forward year on year

without any limit; if you prefer, you can encash up to 30 days at year‑end.

Note: In addition to the leaves above, teachers receive 31 paid holidays (public holidays

and declared school vacations) by default. They can change to Leave Without Pay (LWP)

if the rules below are not followed (see Sections 6 and 7).

3) How to apply for leave

Where to apply: Teachers Portal: https://www.eurokidsjmdenclave.org/teachers (WhatsApp

messages are not accepted.)

When to apply: Submit your request at least 12 hours before your next reporting time.

If submitted later than 12 hours: The day will be marked Leave Without Pay (LWP).

Approval: Your leave is confirmed only when approved by email. “Pending” is not approval.

All absences must be approved: Whether you plan to use CL, EL or LWP, you must submit on

the portal and receive approval. Self‑declaring LWP is not allowed.

Tip: If you are unsure, it’s best to apply and stay on the safe side. If you still come in, nothing changes; if you

didn’t apply and didn’t attend, the day will be marked as LWP.

4) Late arrival

Late by more than 10 minutes = 1 late strike for that day.

On the 3rd late strike, that same day becomes ½ day LWP. There are no resets.

More than 1.5 hours late after your reporting time → ½ day LWP.

More than 60% of your total working hours late that day → 1 full day LWP.

5) Events, Saturdays & Trainings

Events: Attendance at all official school events, class activities, and PTMs is mandatory.

Working Saturdays: Each teacher must attend 2 assigned working Saturdays per month.

Trainings: All teacher trainings (online and in-person) are mandatory. Absence will be treated as

Unauthorized Leave.

6) Holidays and weekends

If you take leave on the working day before a holiday, that holiday becomes LWP. If you take leave

on the working day after a holiday, that holiday becomes LWP.

If a holiday touches weekly offs (Saturday) and you take leave on the working day before or after

that block, the entire block becomes LWP.

Examples

Friday is a holiday. You take leave on Thursday → Friday becomes LWP.

Friday is a holiday, Saturday is weekly off. You take leave on Thursday → Friday + Saturday

become LWP. Thursday Remains CL/EL

Monday is a holiday. You take leave on Tuesday → Monday becomes LWP. If Saturday is a

weekly off, it also becomes LWP.

7) School vacations

If you miss the last working day before a declared school vacation, the entire vacation

becomes LWP.

If you miss the first working day after the vacation, the entire vacation becomes LWP.

Example: Vacation is 9–18 June (10 days). You take leave on 8 June (last working day before). Your 8 June

leave may be approved as CL/EL, but the full vacation (9–18 June) will be LWP. The same applies if you

are absent on 19 June (first working day after vacation).

28) Unauthorized leave

Unauthorized leave means you were absent without portal approval. This includes trying to

count a day as LWP without applying, missing assigned Saturdays/events/trainings, or relying on

WhatsApp messages instead of the portal.

Each unauthorized leave impacts your annual increment.

More than 5 unauthorized leaves in one academic year will result in termination without

notice.

9) Documents

Please upload basic supporting documents with every CL/EL request, and for any LWP you want

recorded for your file. This helps us maintain accurate records.

10) Payroll

CL/EL are paid within your balance.

LWP is unpaid and deducted in the same month’s payroll.

EL encashment is processed with the March payroll, up to 30 days total balance.

11) Substitution and hand‑over

When you apply for leave, please upload your lesson notes/plan so a substitute can continue without

disruption.

12) Attendance system

The Teachers Portal is the only system of record for attendance and leave. WhatsApp messages will not

change attendance.

Biometric Attendance (Mandatory)

The biometric device at the reception must be used to mark your in and out. This follows a

zero‑tolerance policy.

On entering the school, your first duty is to mark attendance. That punch‑in time is taken as

your arrival time, so please arrive before your designated time.

HR cannot adjust or regularise missed punches. If you forget to punch in or out, it may be

recorded as absence/LWP even if you were present.

If the biometric is unavailable due to electricity/device failure, inform reception immediately

and sign the Attendance Exception Form at the gate for both arrival and departure. Failure

to do so will be treated as absence.
